Privacy Policy

This Privacy Policy explains how Axis Sourcing LLC ("Axis", "we", "us") handles personal data collected through the website at axissourcing.org (the "Site") and through direct correspondence with our desk. It is maintained by Axis and describes current practices; it is not an independent certification or audit statement.

1. Data controller

The data controller is Axis Sourcing LLC, 30 N Gould St, Ste R, Sheridan, Wyoming 82801, USA. For any privacy question, contact business@axissourcing.org.

2. What we collect

We collect only what is needed to reply to enquiries and to run a discreet commercial desk:

  • Contact form data. When you submit the quote or enquiry form on the Site, your browser opens your email client with the fields you entered (role, commodity, company, volume, email, message). We receive that email in our business@axissourcing.org inbox.
  • Resource requests. When you request the Incoterms 2020 PDF, we log your email address, name and (optionally) company along with the timestamp so we can understand demand and, where appropriate, follow up.
  • Direct correspondence. Emails, phone messages and messenger chats you send to the desk, together with any attachments and metadata (subject, timestamps, IP of the sending mail server).
  • Basic analytics events. We log anonymous, aggregate events from public pages — for example that a page was viewed or a form was submitted. These events do not include cookies, device fingerprints, ad IDs or names.
  • Server logs. Our hosting provider records standard request metadata (IP address, user agent, path, response code) for a short retention window for security and abuse-prevention purposes.

We do not knowingly collect sensitive categories of data (such as government IDs, health, biometric or political data) through the Site. Do not send us such data unless we specifically request it as part of a formal KYC/AML file.

3. Why we use it (legal bases)

  • To respond to your enquiry and to run pre-contractual discussions you initiated — legal basis: performance of pre-contractual steps at your request, and our legitimate interest in operating a commercial desk.
  • To deliver requested resources such as the Incoterms PDF — legal basis: your request.
  • To comply with legal, tax, AML, sanctions and accounting obligations — legal basis: legal obligation and legitimate interest in compliance.
  • To secure and improve the Site — legal basis: legitimate interest in security, fraud prevention and service quality.

4. Sharing

We do not sell or rent personal data. We share data only with:

  • service providers acting on our instructions (email, hosting, DNS, security), under confidentiality;
  • professional advisers (legal, accounting, insurance) where reasonably necessary;
  • counterparties, banks, freight forwarders, surveyors and customs agents where reasonably necessary to execute a transaction you have engaged us on; and
  • authorities where required by applicable law, court order, or a valid regulatory request.

Because our desk operates internationally, personal data may be processed outside your country. Where required by law, we use appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.

5. Retention

We retain personal data only as long as needed for the purpose it was collected and for legal, accounting and compliance record-keeping. Enquiry emails that do not lead to an engagement are typically deleted or archived within 24 months. Records tied to a completed transaction are retained for the longer of the period required by applicable law and 10 years.

6. Cookies and tracking

The Site does not set advertising cookies and does not run third-party ad-network trackers. It uses only what is strictly necessary for the Site to function and, on public pages, lightweight server-recorded events described in section 2. Fonts are served from Google Fonts, which sees your IP address when your browser fetches the font files.

7. Security

We apply reasonable technical and organisational measures — encrypted transport (HTTPS), access controls on mailboxes, limited data collection, and vendor selection — to protect personal data. No internet service can be guaranteed 100% secure, and we do not claim absolute security. If you become aware of a security issue affecting the Site, please contact business@axissourcing.org.

8. Your rights

Depending on where you are located, you may have rights to access, correct, delete, restrict, port, or object to processing of your personal data, and to withdraw consent where processing is based on consent. To exercise a right, email business@axissourcing.org from the address you contacted us with. We may ask for reasonable identification before acting on a request. If you are in the EEA or UK and are not satisfied with our response, you may lodge a complaint with your local data-protection supervisory authority.

9. Children

The Site is a business-to-business commercial site and is not directed to children under 16. We do not knowingly collect personal data from children.

10. Changes

We may update this Policy from time to time. The current version is always the one at this URL, and material changes are indicated by updating the "Effective" date above.
